Subject: Notice Regarding Leave Approval Process

Dear Team,

It has come to our attention that there have been instances of employees taking leaves without prior intimation to the HR department. Instead, some employees have only informed their reporting managers verbally, neglecting the established procedure for requesting and obtaining approval for leaves in advance.

We would like to remind all employees of the importance of following the proper protocol for requesting and receiving approval for leaves. It is crucial for the smooth functioning of our operations and for proper documentation purposes.

Henceforth, we expect all employees to adhere to the standard procedure of informing the HR department about planned leaves in advance, in addition to notifying their reporting managers. This process ensures that leave requests are appropriately documented and approved within the organization.

Your cooperation in this matter is greatly appreciated. If you have any questions or concerns regarding the leave approval process, please do not hesitate to reach out to the HR department for clarification.

Thank you for your attention and cooperation.

Best regards,

Leave is to be intimated to the HR department. Why? It is okay if he is an employee of your HR department. Why should an employee of the Finance department or Marketing inform you in advance of taking leave? If he has communicated the leave orally to his reporting officer, what is the issue? Who is the authority to approve leave? Is it HR or the reporting officer? Certainly, it is not HR but the reporting officer who is the authority to approve leave. As such, if he has communicated his leave of absence, there is no violation. You should first change the HR policy of your establishment and then start issuing memos/charge sheets. The HR department is not supposed to create terror among the employees but should step in whenever there is anything wrong in the interpersonal relationship between employees, employees and their reporting officers, etc. Don't say that HR is at the top of all and all should communicate everything to the HR manager. His role is not to command but to listen.

Mr. Madhu rightly pointed out that you can warn the employees who are working under you, as you have the authority to sanction leave. In another scenario, HR can only issue a warning letter after receiving a complaint from the department head of the employee if someone is absent from duty.

Dear friend,

Please let me know what the setup and reporting arrangement are in your organization. Depending on this, only appropriate suggestions can be made to you. The drafting of an email or circular should align with the administrative arrangement currently in place.

Thank you.

Unity of command ought to be norm for good and effective management; multiplicity of command would result in inflated egos and all round confusion, esp. in an organisation having field functions.
