Dear All, Please let me know how to draft a warning letter to the security agency that his guard is sleeping on duty hours and it is a big issue related to company security.
Kindly suggest and advise.

What are you warning them about?

You have already told us what the problem is, just write that in a letter to the company. Explain that security has been compromised, and ask what action the company will take to rectify the problem.

Let the company deal with the problem first, BEFORE you start sending warning letters and such like. If it is not resolved then you need to decide the next steps. This is a matter that needs to be discussed face to face, not via mail.

Presumably, you have a security contract. Instead of warning to Security agency/Guard, you can directly ask the agency to replenish the sleeping guard to a more alert guard.

After all, you are paying their service charges on monthly basis.

I am surprised to hear you need the help of someone to draft a letter to the vendor.

You need to simply inform them of the incident noticed, the possible impact and ask them to ensure it is not repeated or you will be forced to terminate the contract.

I do not understand what you are confused about. Perhaps if you provide the draft you have made, someone will be able point out discrepancies if any.

Thanks for guiding me, I understand the situation and discuss those issues directly with the Head of Security Guard and mail them accordingly as well.

Now those senior security guards come on a surprise visit every day and submit the report accordingly.
