Yours appears to a company from hospitality industry. If you want warning letter to be given for the violation of the laid process then first enumerate what the process is, then write the specific instance i.e. date and time of the default and how the procedure was violated etc. Later give the warning.
Nevertheless, this appears to be a serious matter. Serving food to the guests without uploading the software is bypassing the system. How the lapse was discovered? The value of the transaction could be small but the lapse casts light on the integrity of the person. Serving a warning letter is as good as condonation of the lapse that could have deprived revenue to your organisation. Therefore, you may review your decision of issue of warning letter.

The advice of Mr Dinesh was absolutely spot on as the kind of act indicated a lack of integrity. It is not the amount he pocketed which matters now but the tendency and attitude. Copies of several types of warning letters are available in the net but again issue of warning is a kind of condonation for the offence.

Dear Friend,
This is an integrity issue and such cases must be handled with iron fist. If you have uncontrovertible evidence then proceed with the domestic inquiry and get rid of such characters.
The matter is related with the integrity of the employee as he has tried to ditch the system by not uploading the items in the system and pocketing the sale proceed.

Also employer needs to find out how coffee was issued from kitchen w/o demand coming through the system. Some laxity is there and so employer needs to check is there any bigger filching going on.
