Hello to all of members i am working in a security & Detective Service, we have prepared payroll in excel sheet and maintain only excel prints, is manual registers maintain necessary or not

Preparing and keeping salary register in excel is considerable. You need not prepare manual register for payroll. At the time of audit you can very well present these print outs with attendance card.

Dear Abdulla
You need to get exemption certificate from DCL (Deputy Commissioner of Labour) of your region.
You can maintain soft copies Wage Register, Muster Roll, Employment Register etc...,
When ever there is an Internal Audit, External Audit or Client Audit you can take printouts of above mentioned put round seal and get authorized signature then it is a valid document.

Once you are preparing the Paysheet in excel format take the print out and get it signed by the payee and keep the record maintained. The excel print out itself is the Payment Register. So no need to maintain separate manual payment register. You can maintain the attendance register / over time register manually by noting down the in time and out time from where you will take the details for all the employees for whom the excel paysheet is being prepared. If you have the bank account for those employee and you are crediting in their account, then you need not to get the signature done by them. But you must maintain the bank remittance details and Statutory remittance details which should match each other (Paysheet amount, ESI Deposit details and PF Deposit details).

We have switched over to Electronic punching system and not maintaining manual time card system. the recent inspection from the statutory department (tamil nadu factories) advised us to get exemption from the CIF for using the electronic card punching system. Is there any rule / specific form to apply for exemption from the CIF for using the electronic card punching ??
please advice
