Dear HR Folks,
Hope you all doing well

I am working in a service Industry.
Few of our employees have not submitted their experience letters.
They are working with us since last 4 – 5 years’. Now when have asked for the documents they are unable to submit us the same. They tell us that they don’t have that document.
Now please can you suggest me how should I get the documents.

Further my company says, if they are unable to submit the documents then we have to take a letter of Undertaking from them.
Please SUGGEST!!!

why you need their past experience certificates if they are performing well now? Exp. certificate is a yardstick to know their past working, not required for tested that too after 4-5 yrs. You can get an undertaking if you so desire.

you are correct But for file compeletion, we need employees entire set of documents So I need suggestions, how I can get the documents

You may not get documents but you can
ask such employees in which organisations they were previously working. Jot down the names and even telephone Nos. at randomly calls few employers get verified as to whether they have worked, how long and what was their last salaries. Creat a record at your end.
or
you can create an anticident verification form and send it across the previous employers and request them to fill and return the form. This can also be used as a record.
or
for your records you record that this is their first employment as no past record is available.
Further since you are completing their files, do positively ask employee for their proof in connection with Date of birth. ( only school leaving certificate or birth certificate as issued by district administration be held valid.

Good Morning ;) seems you woke up after four years yaaaaaaaawnnnnn, they are good employees working from 4-5 years in same organisation, that too after not having experience certificate of previous employment, do you think they could be cheats ? or frauds?
Just do paper work, now fabricate records as our dear member sunil sardar has suggested.

Make a checklist: Headings are Details yes NO Remarks 10th 12th BCOM Employment PAN Card Add Proof Passport etc and tick all in YEs ;)

We have an issue of Experience letters. Rest of the documents we MAY get it.
So, I am planning to prepare an Antecedent Verification Form to get the experience certificates.
Please find the below template for your glance and Suggest changes if any,
