Can anyone help me to share your Staff Exit Flowchart (from the tender of resignation until relese of salary), Staff Exit Checklist and Exit Interview Form?

Hello friend,

I will list a few activities for the process of staff exit:

START : Employee submits resignation to head of department (HOD) through immediate superior

Immediate superior and head of dept counsel for reconsideration and employee withdraws resignation - END

If he insists on his decision to resign

HOD consults HR on following issues - Cause of resignation, Acceptance, Consideration of Notice Period if part of agreement, date of relieving, alternate arrangement proposed.

HR puts resignation letter for approval of APPOINTING AUTHORITY

Exit Interview by HR

HR Release final clearance form [ also called Verification of No Dues]

Resigning employee is RESPONSIBLE to get the clearance form completed at various departments.

Submit the form to accounts

Accounts prepares statement of dues to be recovered if any from employee [ e g notice pay, loans and advances, surety amount as per service bond or agreement, Leave encashment etc as applicable]

Accounts to inform Financial Institutions about his separation, if there is loan recovery through salary

"Prepare" resignation acceptance cum relieving letter [ in some cases the resignation letter acceptance is immediately given as a separate letter and relieving letter is prepared after final clearance]

Handover the statement to employee to inform amount DUE to him.

Collect cheque/ demand draft in the "name of the company".

Get the Mandatory forms filled from employee - relating to Provident Fund, Superannuation, Gratuity and other retirement benefits.

Ask: ALL DUES PAID - YES? MANDATORY FORMS FILLED : YES?

HAND OVER RELIEVING LETTER to Head of Department to handover to employee - acknowledgement signature to of receipt on copy. Copies to be sent to Accounts, Personnel Administration/ personal record file.

Enter date of Termination in IT systems Delete name and e-mail id logins etc.

Process final payments due to employee - salry for the days worked and other benefits for which employee is eligible.

Make final payment.

STOP

It is suggested to collect Exit interview Forms, Full and Final settlement Form and No Due certificate forms as part of relieving procedure. Sample forms are attached for ready reference.
