Hi Team, I am Bipin from the HR team of an NGO, need your support for the below mail format,

We have a meeting room booking app and all the employees have the rights to book the meeting room as per there convenience, but lots of employees are booking the meeting room without following the meeting room booking app, below mentioned are the pointers which needs to be highlighted for booking meeting room. I need to send an mail to all of my employees on the below-mentioned point in the same mail.

1) Book Meeting room when it is required, don't block the meeting rooms without any requirement or for any meeting which is not confirmed.
2) Book meeting room by keeping in mind that 50% capacity of the meeting room should be utilized and if not the admin would have rights to cancel them.
3) If you have booked a meeting room for a meeting and if the meeting is cancelled or postpended please cancel the meeting room booking and rebook it as per the new requirement, please don't hold the same as the same can be used by others.
4) Please avoid recurring meeting room bookings for more than 2 days.
5) Meeting room 1 in new office is specially for video conferencing usage, please don't book the room for general meeting and if the meeting room would be booked for general meeting and any video conferencing meeting is schedule, admin would cancel the general meeting booking and would book the same for video conferencing requirement.
6) Please use electricity in the meeting rooms responsibly.

Need your support in drafting this mail which I need to send to the department heads and Sr. Manager.
