Dear Jarral,
By issuing one single letter to all employees the pay package will be open to all. It may create problems in near future. It is suggested to issue individual letters to all.
If you want to make individual letter, you can take advantage og mail merge from Xls to Doc. Also you can send the same on mail to every individual.

Suggest you issue salary increment letters to individually, rather than exhibiting the same in
the Notice Board of the company.
The content of the letter vary in accordance with the rating you have given for each employee.
(That is to say, for an employee who is rated as "Satisfactory" will be different from
another employee who is rated as "Superiod" or "Exceptional" or "Outstanding".

Monthly Salary Slips, Salary Revision letters, Salary / Annual Increment letters, Promotion Orders are tobe made seperately for each employee & given to them (with acknowledgement) & one copy tobe put in the respective Personal files for future reference. All these being CONFIDENTIAL, safer to give in a cover thru HODs who will have greater control of his subordinates & also who has to extract work from them. Also, HOD should know salary / job changes. Hence, route such things thru HODs.
The Increment format given by JKCT 15 is ok. We may give Subject: SALARY / ANNUAL INCREMENT since it pertains to Salary / Annual Increment. Where 300 to 3000 employees works, Emp.Code No is very important to identify the person & Personal.file. Individual Increment Letters can be made in mail-merge in Excel document as recommended by Shri R. Ramakanth to Mr. Jarral. For Convenience, generate all letters Dept.wise so that it can be put in the Particular Dept. cover & sent to concerned HOD retaining one copy in HR for Personal Files.
