Hello,
Please advice on this issue.
I have only 5 employees working in my office and my company is also not very old. Since it's start in 2009 till now there have been no thefts what so ever as per my knowledge.
We started with 3 employees and 2 more have joined recently. In a weeks time small office stationery and some stuffs (personal water bottles) are going away.
How can I handle this situation? It's a bit annoying and shocking and I need to be prepared for near future if any cash thefts may happen...
Best Regards
D

Dear Deepali
It is good that you have identified the issue i.e., theft being taking place in your office. Please call all the staff and give clear instruction that "Recently we are facing some issues in our office. Some small materials are being taken away by some unknown person. All are to be more vigil to safeguard their materials and personal belongings. If any company items missing, then it will be debited on the person who lost the material and whose name it was issued".
Now onwards you must make responsible for all the items whatever you are having in your office. Start maintaining the inventory records for all items on the individual names. Before supplying the materials even stationery items please take a receipt signature in the stationery register. If they come for further issue, you can ask them that you have issued and ask for the accountability and consumption details.

Hello Deepali, Do you have frequent visitors to the office? Also, do you suspect anyone specifically — especially the 2 new employees? Rgds, TS

Hello,
With very few employees it is quite shocking that such things are happening. Like S. Bhaskar said, you can prepare an "ASSET ALLOCATION FORM" for all your existing & new employees. Make it a practice to get it signed by the employee immediately at the time of joining when you issue them the assets (may it be tangible or intangible). For employees associated with you for long, it might be little awkward to pass through this but you can always convince them or handover the responsibility which will bring in the feeling of togetherness in them.
Nowadays, even CCTV cameras are available at affordable rates. You can install one at your office premise, it will not be offending to them and the one who is doing such things will immediately stop doing so (atleast will fear before doing so)..

Dear Deepali, Mr. Bhaskar has suggested u in a great way but in addition to that u can also appoint one security guard at gate who can keep a watch on this while letting them out of the office.

For a small office employing only 5 staff, it is not advisable to deploy security guards which will escalate the cost of the company. That's the reason I did not advise for the Security Guard. One more thing we have think, if the security guard does frisking check on an employee, the employee will feel like insulting. So it is not advisable. But the CCTV installation is advisable.

Dear Mr. Bhaskar,
I agree on your point that it will increase a little to the cost of the company but on a professional note i don't think that the employee will feel insulted.
going further, CCTV installation too is advisable.
