Hello Sir/Madam,
I have recently joined as Manager-HR in an infrastructure company.
As of now there was no HR dept. in the company and now I am supposed to develop HR dept here.
I am confused about how to design a Holiday calender for employees as this company has got its branches in different states of India and as we all know the holidays would be different in different states depending upon the festivals celebrated there; accept government holidays.
Kindly guide me to design a proper calender so that co-ordination during holiday in a state would not be a problem.

If you have branches statewise, you need to prepare holiday calender State wise to b emore prudent.You can have a simple format like this.
State - Jan. Feb . March April May June July Aug. Sept Oct. Nov. Dec

The states can be mentioned in the alphabetical order. Dates on which a stae observes a holiday can be mentioned under respective month column. By this format you can know holidays statewise and monthwise. However othe members can chip in with more utility based ideas.

You have to prepare 'n' number of Holiday calendars to 'n' number of states... Each state gives importance to different holidays depending on the cultures. Therefore you have to prepare the Holidays list separately to all states..
According to the Factories Act, you have to provide minimum 11 holidays to employees.. the break up for national festivals & religious festivals is also given in the act.. I suppose it is 6+5, if I'm not wrong.. Kindly check the Act & prepare accordingly..
Our company has prepared different holiday lists to different states (even we have branches in more than 1 state)
Keep in view the above & prepare accordingly

You yourself have given the answer of your query i.e. festival holidays may be vary from state to state whereas government holidays remain the state.It all depend up on how many days of national and festival holidays your organization want to give to its employees. Say it is 10. In this situation what you can do collect the details of festival holidays of respective states where your organization is having branch office and include all those festival holidays which are celebrated with great pomp and show and religious sentiments are attached besides 3 national holidays. Even if it is less than 10 rest we can put as restricted holiday which the employees can avail as per their respective community rituals i.e. Sikh-Guru Nanak Jayanti, Christian-Christmas etc.

Dear Mr. Vijay,
kindly make the list before proceeding list of holiday. keep 5 leaves common to all branches in India i.e. 15th aug, 26th jan etc. and other remained leaves make as per importancy in states.ex- Ganesh Chaturthi is main festival of maharashtra, like make list which festivals more imp in concern states.
if your head office is maharashtra. first 5/6 leave can make common for all.

Take a cue from the Central Government Holiday List 2013 (attached). You may reduce the number of holidays from the Govt list to eight / ten!
However, while deciding the number of holidays in a year, make sure that it is uniform across the various states.

How to make a holiday calendar has been explained very well by other learned readers already.
I have only one thing to add - try and take the heads of the various branches into confidence while making the holiday list of their branch since they would be the best judge to know what are the important holidays for them / their branch. This way you'd be able to make them feel empowered as well and not have any HR related issues.

Dear Bansal,
prepared the holiday list zone wise like: south zone, North zone, East and West, all of your state covered in this zonal wise holiday list.
after preparation of draft holiday list sent that to respective HR manager state wise and ask them to select 11 holidays as per majority of religion basis employees working in that particular company.

Hi Vijaya!
You can prepare one by making it weekly instead of monthly - one integrated calendar for all states so that at a glance all information are immediately noticed. The purpose is to provide bigger space/box for each date to accommodate more entries. And to identify what state a particular holiday belongs, you may color code the entries, say green - state 1, red - state 2, etc. Hope this helps.
