A warning letter has to be specific
Date of absence from and to e.g 09 Mar 15 to 15 Mar 15.
Warning letters are issued after seeking explanation and deciding based on explanation and other factors/evidence that employee deserves to be warned.
Specific period is given for seeking reply and not as soon as you receive the letter from Management side. for example.
your reply should be received by 1200 hours on ------(Date).
The file also has plenty of grammar mistakes and does not deal with the subject properly.
