Hello Special Girl,

If I remember correctly then I can say sometime in past I have helped you in drafting the letter. You can click here <link updated to site home> to refer that letter.

Now every time you cannot go on asking ready made draft for you. I request you to write and upload it on this forum. Some senior member like me will correct.

I am saying this in your interest. If you don't practice, you will never improve. For HR professionals, drafting skills are quite important.

Roughly, your draft should include the following points:

a) When the employee had joined and at what designation?

b) How the level of performance was communicated to her?

c) Was she given any training to improve her performance?

d) Did other employees also joined along with her and what is the level of their performance?

e) Have you given any warning in the past?

f) What could be the consequences of poor performance?

Thanks,

Dinesh V Divekar

Dear SG

Did you ever asked yourself "What shall i do to improve my shortcomings or to improve those skills in which i am lacking thus affecting my professional/career growth related factors?"

You are able to communicate well, in similar manner, try your best to summarize relevant points as suggested by Mr. Dinesh in his post. Keep your language polite/formal and start drafting. No wonder, you may make mistakes, but this how you are going to learn. Its a process and none had learnt without making mistakes.

STRICTLY FOLLOW RULES RULES for drafting LETTER, MEMO, CIRCULAR, NOTICE & preparing REPORTS, because they all have a SPECIFIC PURPOSE.

Let me explain you about FACTORS associated with individual PERFORMANCE & SELF DEVELOPMENT.

INTERNAL FACTORS-
  • SELF MOTIVATIONAL STRATEGIES,
  • PASSION/ENTHUSIASM,
  • AGGRESSIVE APPROACH,
  • ASSERTIVE/AGGRESSIVE BEHAVIOUR

EXTERNAL FACTORS-
  • EXTERNAL MOTIVATORS
  • PLACE OF WORK OR LOVELY/PROFESSIONAL AMBIANCE OR WORK CULTURE,
  • WORKING WITH SUPERIORS WHO ARE SUPPORTIVE/COLLABORATIVE, CAN PLAY THE ROLE OF MOTIVATORS or A GOOD COACH or A GUIDE.
  • GOOD PAY FACTORS

PERFECT PERFORMANCE APPRAISAL STRATEGIES DEFINING KRA/KPA & KPI.
  • HAVING GOOD FRIEND CIRCLE.

There can be more. You haven't defined GOALS of your PROFESSIONAL CAREER thus defining CAREER GROWTH PLANS. If you would have done that, probably by now, you would have been working on your ACTION PLAN associated with your CAREER.

Try your best to enhance your DRAFTING SKILLS. Without BUSINESS COMMUNICATION SKILLS, you can never succeed in your career. I am sure there are many WORKPLACE SKILLS supporting your career growth. Plan to attend training programmes once twice in a year, depending upon your budget. You will find plenty of information online. Download material and start your daily practice scheduled for the next 3 - 6Months. After that measure your skills. I am sure, you will find difference in yourself.

With profound regards

It is most unfortunate that youngsters these days do not want to take risks and make attempts themselves. They want to be spoon-fed all the time. These days nobody reads books. This is another factor. I have been reading English books for the past 45 years. Our father used to initiate us with PG Wodehouse stories, and then Early Stanley Gardner, Fredrick Forsyth, Graham Greene, Neville Shute and so on. What I started off almost 5 decades ago, keeps me going. Even now I am surrounded by books, books and books. I read not only novels, thrillers, but also management novels, medical, legal articles, anything that pass through me, or I pass through them ! Consequently, my drafting skills are always a shade better than many, my spelling mistakes are almost nil and grammatically almost flawless. But I dont take this success to my head but always advice youngsters to imbibe and follow others in their tryst.

If we reprimand them for this kind of attitude, some other members take their side ! That is why I have stopped responding to such mail because I find my time more valuble than wasting my time on trying to educate the people who do not want to 'learn'.
