Dear Friends,
I have little doubt regarding reissue of experience & relieving letter. One of my employee had left our organization 6 months back and we have completed all the exit formalities and the experience & relieving letter were handed over to the employee at the time of separation.
Now, the employee has come back with a request that he has lost his original relieving & experience letter and wants to have another copy of it. My questions are:
1) Can we issue another copy of experience and relieving certificate
2) If yes, should it be same as given earlier or should we write as DUPLICATE at the top.
3) If No, why?

Hi,
If this is the first time you are facing this dilemma I empathize with you.
But you see, the experience letter copy can be demanded by any ex-employee as and when he requires. Since this is his legal right.
He could be required to submit it for multiple reason and mostly its for Visa applications.
Hence you can issue him an original letter again.
No need to write duplicate copy on it, since there is no possibility of misusing it or anything.

You would be obviously having a back up soft copy of the same. Just take a print out and end the issue there. Also warn the ex-employee a similar request in future would not be entertained.
ps: if you want to complicate things then you might consider your point nos 2 & 3

Of course you can issue the letter again! You ask your x-employee to write an application regarding the lost of the letter and issue the new letter.
But the letter needs to be of the same date of his relieving.
I agree with the numbered member that if you want to complicate the things then you can consider 2nd and 3rd points of yours.

The tenure of the employee mentioned on the letter cannot be changed. I am not sure if the date of the letter needs to be as per the original letter issued earlier? I think it can be the latest date.
What happens if the current signatory of the letter was not working with the company as on the earlier date of issue of the letter? How can he sign a pre-dated letter when he was not working here?

Hi ,
If some employee joined a company and is serving within the bond
period. If he has to resign without completing d bond, he is required to pay the
bond amount to the company in order to obtain the relieving cum experience letter.
If he leaves without obtaining the letter n comes back after 2-3 yrs back asking d company to issue him his exp cum relieving letter. Will he be issued the letter if he is willing to settle by paying d bond amount to
d company.

Dear Sanjay,
Every company maintains a file for an employee if he has already received his experience & relieving letter than the same documents will be in his file you can issue the same copy to him no need of giving him a duplicate copy.

Dear Dushyant,
If an employee get's back to you demanding his relieving & experience letter & if the his full & final settlement is not done you can complete the formality and issue him relieving & experience letter once he pays the due to the company.
