Hello Seniors,
We have an employee who has submitted his resignation because he has got a better opportunity in another company. He is currently serving his notice period which is for 1 month. His future employers are asking him to submit proof of his resignation in our company.
I would like to know whether or not the Line Manager or the HR has to accept the resignation on mail or in writing???..or is it just accepted verbally and the employee gets an experience or relieving letter at the end of notice period??..how can the employee prove to the future employer that he has submitted his resignation in the current company??
I want to know the general industry norm as there are different opinions in my company.

Hi Jamila
A good company should accept the resignation just by signing (by Head HR/authorisec person) on the resignation letter submiited by employee and employee can take photocopy of it. Original resignation to be kept with the comapany for records. Employee can show this to his future company. This is is i guess the simplest resignation acceptance and much followed in industry.

Hi Jamila,
If any employee resigned to move outside, his resign letter should be accepted by his superior as well as his departmental head/project leader after that they will forward to HR Department then he will get acceptance letter on the company letter head at the same time we should have take his signature on the acceptance letter xerox copy for our record purpose. After 1 month notice period he has to submit No Dues certificate and also exit interview at HR, then he can get all the certificate means relieving letter and service certificate.

Hi,
In this case, you may ask your employee (who decided to resign) to submit his resignation letter in writing. And then you forward the same to higher authority to get acceptance and approval for relieval. If your higher authority would accepted and signed his approval in the resignation letter, the resigned employee may use the photocopy of this approved resigned letter as a proof for resignation to the future employer.
This what I know regarding this prob.

You can accept the resignation with duly signed by the Hr manager or concerned authorities, there is generally no practise on the said topic but lot of depends upon the company to company.

Your employee can submit a written resignation to your HR dept. which could be accepted by your HR as employee is serving the notice period so i don't think that acceptance of the resignation could be a issue & than a copy of the same can be submitted to that futuer employer as a proof.

Dear Jamila,
When employee resigned from the job he submitt his resignation letter to Hr or Deparment head. Department head submitt his to Hr for futher procedure. If it is accepted by management then take a signature on resignation letter from approval authority. Employee can take one photocopy of this resignation letter. It is one firm proof of resignation.

Dear seniors,
I am working in a dealership from last One & Half years w.e.f. Aug 2008 to till date. There I was put on company roll from Jan 2009. In the particuler company increment starts from April but implemented in Sep To Nov. This year it is given in Nov month & I also got an increment of Rs.500/- . In this particuler period I was searching for job & by the luck I got my new job after the increment in Dec. Now I had resigned from my job with a 15 days notice period but our G.M now want back all my arrear if I resigns before April 2010. Please suggest me what should I do in this matter .One more thing this company don't provide any Appointment letter. But I have all Company SAlary Slips & Other ESI& PF records.Please give me urgent reply.

Hi Jamila,
The resignation by an employee is considered formally accepted only when it contains the signature of the authorised signatory ( HR / Dept. Head).
The employee can mail across a scanned copy of the afore-mentioned signed 'resignation letter' to the future employer, so as to confirm his/her intention of joining the new company.
