THE organisation I have joined newly are in the process to streamline the HR DEPT. total 1500+ employees are working.
The major issue is my BOSS said i need to segregate all the 1500+ resumes the resigned and the current working people (EVEN THE BLIND SHOULD BE ABLE TO TAKE THE REQUIRED DOCUMENTS) we have around 40+ centers in India ID has not been issued.
only one man was handling all the 1500+ employees interview, payroll, exit formalties etc., top to bottom of all HR activities...
now I am confused what to do
at present Im cross verifying all the documents (name, d.o.b, father's name) wheather it has been correctly feeded in the master's they are currently maintaining..

gayatri your question is not clear can yo please put it more precisely... and to the point,
Is Employees files maintained in different location, are the files to be cenralized??? what exactly u want?

Dear Gaayu,
You are in right direction.
1. If you have the remark column in your masters file (i guess this is excel sheet), keep populating the same with resignation details, expecially LWD.
2. Just have one sheet at the moment for active of resigned employees.
3. Take up the activity of recreuitment database management later once you have completed the existing active 1500+ employees database.
4. All the hardcopy of resumes that you check should be tagged i.e. you should have an employees ID mentioned on the same both resigne or working.
5. If you have a software, first start with excel, it easier to enter details in excel then entering in customised software, which can be entered later once you have the database ready. That is much faster and easier and quicker.

You Question is not clear.
First you check whether the Employee database is up to date, if not update it. Have the last month payroll details as a supporting document.
Second verify whether the personal details like resume, educate certificate, address proof, photograph etc of the existing employees are collected and filed in their personal files. If not update the same. If your company has 40+ centers in India, get the help from the Branch head.
You have mentioned that ID has not been issued. Check with the Br.Head and issue the ID's.
Start the process slowly and one by one.

What is the time frame for completion of this task?
Better start this now. First cocentrate on only Live employees(Working employees). Once u set this right it should not be more time consuming for Resigned employees.
Invest time on this new task i would lead u a good experience.


Excel sheets are the best. Start collating details for the existing manpower... issue id numbers....see if you can categorise id numbers for better recognition....
