Kindly guide me if employee left the company what are the neccessary steps one should take to stop the deposit of fund for that employee.
do we need to submit any proof in PF office showing that emp has left the org?

Your caption in the subject line does not match with the content of the post. I hope you meant to ask the formalities after an employee leaves.

When an employee leaves you have to prepare his form 3A, the statement showing the contribution made in respect of that employee during the current year. Prepare form 10 with particulars of employee left. These are to be sent to EPFO probably along with the monthly returns.

No further intimation is required to be given to EPFO.

If the resigned employee has not left India for permanent settlement abroad or if the employee is not a woman employee who left your employment after getting married, wait for 2 months to forward his applications for withdrawal of provident fund in form 19 and withdrawal of pension fund or availing of scheme certificate in form 10 C. If the resigned employee has left India for settlement abroad or in case of woman employee leaving the establishment after getting married, two months waiting to ensure that he/ she is not in any employment in which the PF applies will not apply and as such the form 19 and 10 C can be forwarded to EPFO immediately after their leaving.

Normally, form 3 A will be submitted along with the annual return in form 6 A. Since the form 3 of resigned employees were been sent in the respective month of their leaving, a remark to the effect that 3 A sent on the specified date will be sufficient latter on.
