Hi Appointment letter is must you can include propation clause in your appointment letter which may be extended upto 9 months after that you have to give employee with confirmation letter.

Dear Maruthi,
If any employee joins any organization, should issue Appointment letter to person within an week. Whether the person is in probation, company should issue offer letter and appointment letter to the concern person.

A person joins an Organization based on his knowledge & Skills, assessed during the interviews, vis-à-vis his academics. If you feel the person to be recruited is good in academics or has potential, but due to lack of experience, cannot take up the role assigned for, then you recruit him/her as a Trainee.

A Trainee appointment letter / contract is to be issued at the time of joining which clearly indicates the level, remuneration and expectations.

After successful completion of Training Period, the Trainee is appointed as a regular employee on probation, and accordingly a separate appointment letter is issued to him with the JD & KRA of a regular employee.

Please note that except for Trainee under Apprentice Act, all for statutory benefits of PF / Bonus / Gratuity, the date of joining shall remain in records the one when the employee was recruited as Trainee, and not when he was appointed as a regular employee.

You have hired the person then you have to issue appointment Letter .According to the organization policy put the clause of probation period 6 month /3 months .When you appoint someone there should be agreement/contract /appointment letter between employer and Employee to know the terms and condition of the organization.
IF he/She is trainee for 2-3 months then issue offer letter that you have selected has trainee with us in this dept and you will with us for 14-16 working weeks .some document should be signed between employer and employee

if you have got appointment letter via mail its ok. check whether its on company letter head.
You can check with the company whether they will be giving the appointment letter hard copy once you join them.
I had received my offer letter via mail. I was in my native place and the company was based in mumbai. on the day of joining i got all the documents on company letter head.

Dear Maruthi.
You can give the appointment letter in Form Q which is prescribed by labour department. Where in there will be Wages details & Date of Joining details. But there is no any agreement details like Probationry, or Notice Period in that form. U can give both you company prescribed format as well as Form Q. As per Labour laws form Q is necessary.
