Dear all,
Recently, few of my colleague absence without inform me (I am the HR in my company). They only call the team member or the leader for their absence and the team member just silence and without report to me. My boss would like me to issue a memo to all staff for warning them for inform the HR for any MC or emergency leave. Pls help me. Thanks :cry:

I think that your boss is right they should inform the HR. If you are not aware about their leaves marks their absent I mean if their leader has'nt told you regarding their leave just do as per the policy of the company.
If they have informed their team members and team leader so it is the responsibility of the Team leader to inform you.

Hi Dear
You have to give the warning letter to those person who take the leave without prior intimation to you.
If u are HR then you have to play a strict role as a HR.
Display notice that if the person wants leave then he/she must give prior intimation to HR instead of collegue. If he/she does so then we will treated as absent instead of leave.

It is really important to inform HR about any type of leave. It is the responsibility of the employee as well as the respective superior to inform HR about the leave.
You can go ahead and issue memos to the employees and talk to the respective team leaders or supervisors regarding this.

The problem you have faced is quiet complex,before issuing memos to the employees,you intimate your boss's decision to the employees,and again if they continue the same thing its better to issue Memo's to respective employees.

It is not possible to inform HR all the time and i think it is good that they have inform their superiors and thus superiors in-turn should inform HR about their absence and process in their department.

HR has to use his intelligence in terms of

1. Initimation cycle is complete if not should counsel all the layers in process eg the person, the superior and the HR.

2. If the process is not followed that mean there is some missing link between the team and HR should help them to build that team.

3. Sending the info to HR directly is OK but did not help in building the real core team structure for which HR is working on.

The situation we have, kindly do

1. Talk to the concerned employee.

2. Talk to the concerned superiors.

3. Talk to your HR Superiors.

The process adopted should be so that the request if provided to Superiors is being forwarded to HR by the superiors and they talk to HR head for the delay.

You have to be deal the situation and come out winner.

You will surely do the real HR practice in building and lifting the relationsip rather than giving the letter of advise and making holes in the relationship of all party concern.

go and get the things done thatway always it is not possible to informHR directly its true and if information comes thru the team member/TL to HR then each layer is well informed for any leave or absentism which helps teamspirit and OD.

dear friend
frist of all the communication system in ur organisation is not good . so set in a systematic way.
when the employees ar not informing u, u can issue a non-verbal warning by posting on every cabin of the employee or on the notice board.
if they ignore u can have verbal warning.

I think there has to be proper channel of communication,the employees can not directly communicate with HR all the time.
I would advise you to forward a leave application form to all the team leaders and managers.the employee should fill this form,get the leaves approved from the reporting manager and then submits it to HR.
