In my company, the sales department head and sales coordinator, and the service department have the company stamping for work purposes, but they keep the stamps with themselves in the office all the time. As an HR, what should I do in this case, as not everyone should be using the company stamp by themselves except HR and accounts?

Dear member,

To handle the situation, create an SOP. Use the following guidelines to make the SOP:

a) Create an exclusive stamp for the Sales Department. It should be different from the company's round seal.

b) This stamp is a company's property. Hand it over to the head of the department and take a signature on the loan card.

c) While handing over issue the instruction to the recipient that the seal should be used for the department's work. Use of the stamp for any other purpose will require official approval from the competent authority.

d) Permission will be required to take the stamp out of the department. Since it is a company's asset, proper handing/taking is to be done if the recipient of the asset is likely to abstain from the work for more than two days.

I hope the above guidelines are sufficient.

General Comments: - Lately, there has been a trend to make the posts anonymous. The provision to make the post anonymous is made because sometimes the query raised is sensitive and the disclosure of the name of the person who raises the query could put him/her at risk. However, the facility is being misused. Yours was a normal query that did not require anonymity.

A few other members even go even further. They raise the normal query, get the replies and do not bother to acknowledge them. 1-2 weeks ago there was a query on the incident during the celebration of the festival of Holi. Though the post received quality replies, the originator of the post did not show basic courtesy to acknowledge the time spent by the senior members.

For Chief Administrator: - The tendency of these members shows they are insensitive and lack humility. Should we start deleting such posts?

Thanks,

Thanks Mr. Dinesh for such a prompt answer. This will help me. Can you please guide me what can be written in loan card?
