Dear Moderators, I would like to know that we have given increment to our staff in the month of Jan. But later on, management decided to given general increment to all. it may be considered as a revision salary structure. Kindly suggest what kind of format we should use to hand over employees as documentary proof of salary revision, if we gave increment letters then what should be format now.

Granting increment and revising salary structure are two different concepts and practices and are not to be used interchangeably. So it needs to be clearly spelt out what has been done. Thereafter convey the good news to all with the firm message of better performance and credible results in the days to come.

Providing the general increment to employees its a good initiative to build a rapport relationship between the employee & employer. You can issue with printed letter head that includes such information about your increment. Get acknowledgement sign in copy of the letter head.

An increment/revision in salary is always a good news to employees and definitely a morale booster. However its communication is also mission critical. Management might have considered various factors and arrived at some amount and being a HR pro, you may have some points to showcase while communicating. So make it ready after a detailed discussion with management, get the buy in from department heads and then plan for the announcement. Also issue verbal communication - email or letters (based on nature of industry and kind of access to information).
