I would like to know that is it necessary to give a Joining Letter or any other professional letter on Hard copy instead of soft copy.
I just want know if mails are also a legal proof of the Co's then it can work like that also. It also a save Papers.

Legally, courts have not started reliance upon digital documents, correspondences as yet due to lack of authenticity. Also when the recipient has not acknowledged such a mail things becomes complicated to judge. All the crucial docs, especially service related should be present in hard copy, that too in originals and it's receipt should be acknowledged by the recipients. Justification with a view to save paper has no locus-standi. Sometimes when electronically transmitted correspondences if and when not disputed by the parties to dispute can be accepted, but only on the discretion of the adjudicator.

Accepted practice from several decades and still applicable to majority of the companies is that, for jobs offered on contract, fixed time hire, and on rolls do have hard copy of appointment order, one given to employee and other HR copy. However, you can give letter head copy to employee and HR copy you can take a photo copy of that after his/her signature.
You are right, only mail can be given to some freelancing work, if it is a continuous assignment arrangement between the freelancer and work giving company. But it is suggested, advised and better not to follow this for other type of job allocations.

My company took a hard copy of all the documents (Offer letter, Confirmation Letter with my signature) and Give me Soft copy of all the document with HR signature. it is ok or I ask then for the hard copy?

Hi Jjayeshk,
Of course, it may be ok, I presume, they have given you scan copies of those docs. Print all those, including the mails & correspondences they forwarded to you attaching these docs. If you have hard copies and they ack.on those papers, it's still better as they would be as good as originals.
