Slightly confused regarding GATE PASS policy .
1. Who are the concern person to sign on gate pass????
2. If employee not informed to HR / Not taken an approval sign on gate pass and leaves the premises what then ????
3. Since giving warning a lot the drivers still go outside for lunch without making pass what to do????
4. If an employee is taking 1 hr permission and coming back to work place after 2hrs what to do?????

1. Who are the concern person to sign on gate pass????

Reply: - To whom to authorise to sign the gate pass is an internal matter of your company. Let your MD decide about it. Generally, gate passes are signed by General Managers and above. However, each gate pass has to be signed by HOD first and then it goes to GM for the final approval.

2. If an employee is not informed to HR / Not taken an approval sign on the gate pass and leaves the premises what then ????

Reply: - It appears that you have confused between Gate Pass and Out Pass. Former is for taking the material out of the company premises. There are two types of gate passes. One for returnable material and another for non-returnable material. Out passes are for the people moving out of the company premises. Authorisation to move out of the company, whether for personal reasons or for official reasons is decided by the MD. Out passes are also signed by the GM. For the managers, instead of out passes, a register is maintained to record their exit or entry into the company.

Reply: - Your question is bit confusing. Moving out without out pass has become a culture of the company. Drivers need to be educated on the new system of the out passes. Defaulters can be given a stern warning. If a written warning also does not have any impact on the drivers then a penalty can be imposed on the defaulters.

4. If an employee is taking 1 hr permission and coming back to the workplace after 2hrs what to do?????

Reply: - Generally, outpass is for two hours. Have you asked the reasons for the delay? Whether the visit was for official or personal reasons? What are the views of HOD on the late coming by the employee?

Final comments: - In your post, nowhere you have mentioned the role of the security personnel. Generally, they are the ones who control the movement of the men or material. Do you have a security department or not? If you do not have security, then it is important to raise this department. If you have a security department and still if you are facing these issues then this department needs an overhaul.

Lastly about your post itself. The quality of your post is far from satisfactory. You could have been a little more professional in writing your post. While seeking advice from the seniors, one needs to maintain decorum. There was no need to match others' slipshod posts with yours. The sooner you improve, the better for your career!
