we have a HR software installed in a garment industry. Workers are using proximity card for attendance. Software is collecting attendance based on data from attendance device. as well as salary also generate based on that attendance. but my client ask me that there are some workers who are really not exist in company. But some group of people creating this worker and taking money from company as salary.
So I just want to know, how can i identify those worker from software ?
Please give some advice.

An effective solution to identify 'Ghost Employees' is to have an automated mapping of 'Payroll' on 'Employee Database'. This is possible if both these applications are hosted on one HR platform. Some organizations have preferred to use EmpXtrack to solve this problem. You may search for this integrated platform on the web & use it to your benefit.

This is a very strange issue. It is not easy to pass through Time Office, HR , Finance and Audit without coordinated support.

Somehow information can reach Management. Management itself were not interested in company affairs !!!

Now, if the Investor/Management wanted to clean up

1. Call all shop floor managers and department heads with current list of employees and resigned for the last 6 months

2. Call all registered contractors with the list of current contract employees for the last 6 months

3. Call HR/Finance department who prepares the salary register and ask for last 6 months salary register

4. Call Time Office/Security personnel to produce Attendance Muster for last 6 months

5. Parties mentioned 1/2/3/4 shall be there in a meeting with CEO, together

In this meeting itself, with the help of Auditor/HR Manager, company can identify the malpractices, if any.

If there were malpractices, find out the causes and all possible steps to stop repeating the same.

Probably, one of the steps to stop such malpractices could be implementing a stable software system in place

to automate Employee Info, Leave & Attendance and Payroll

Use Biometric Attendance Device instead of Proximity Cards or Swipe Cards.
An employee can mark attendance of other employees using their proximity cards or swipe cards & mark them present when infact they are absent.
In Biometric Attendance Device (finger print or eye scanner) it is not possible to mark fake attendance by proxy person. Attendance Device with Eye Scanner is the most secure.

As suggested by kss_sku, you can opt for Biometric attendance machine. Retina eye scanner machine will be more costly to be implemented and is a little time consuming process. Finger print based access systems are also good and cost effective also.
For each employee you can get 2-3 finger & thumbs from both hands registered on the access system, so that if anything happens to 1 finger or one hand, a person is still able to punch with other hand finger/thumb.
For both you can use finger print based system to be more secure or for incoming you can use finger print and for out you can use the card system.

New hiring may be asked to provide all documents for Account opening.
Disburse salary in employee Accounts besides introduction of Bio metric Attendence in your office. Automated attendence MIS to be check prior disbursement of Salary. This would also track Employee late comming / short leaves.
Thus employee existance may be cross checked.

Hi S_Square, Installing Bio-metric attendance recording system is a fool proof. If any employee does not report to duty, he/she attendance is not captured, so no salary to be paid.

You can use some employee tracking software like Work Snapper to track and monitor your employee and in this way you can show how many employees are working through the reports you get through the employee tracking software.
