Dear Senior,
Greetings!!!!
I am working as a HR-Generalist in a small concern. I am the only HR here and i used to look after both HR and admin activities. I joined in this company on July 16th 2012, and according to the offer letter it's mentioned as 6 months probation period and in that case my probation should end on Jan 16th 2013. I dropped a mail regarding probation confirmation date on Jan 16th 2013. but still now i didn't get any reply and regarding which sent two reminder mail also...
Kindly advice me in this issue...

Confirmation is also a process and is not automatice on the expiry of the probation period. Probbaly the HR will be going through the reprts on your performance from your manager to take a view on your confirmation.Some times the concerned HR officer may be on leave or busy with meetings. Trust you will be confirmed since they have not communicated any thing contarry to it till date.Please wait for some time and then send a reminder.

So whom did you send the mail to ?
In a small company, there is generally a flat organisation.
Who recruited you ? A senior manager ? Director ? Owner ?
Go and speak to that person again and remind him that your probation is over, I hope you are satisfied with my work, so can you please give my confirmation letter. If you wish, I will type it and get it to you.
If he has a problem, then you will need to resolve it.
If he is not happy with your work, then probably u need to I prove or move on

In usually any organisation especially government organisations the rules are in favor of employee. So if you dont receive any negative communication regarding your probation till 16 Jan 2013, it means that you are confirmed or your probation is cleared. If there is any extension of probation period then it should be mentioned to you by letter before 16 Jan 2013. Since you are working in start up company and only HR, you have to put up this to your boss and get the policy confirmed so tomorrow you can do needful action to other staff.

I disagree with your contention.
There is no provision for automatic completion of probation, unless clearly stated as such in the appointment letter. Standing orders and hr policy will generally not have such a provision. Probation specifically needs to be closed and a confirmation letter should be given to the employees. That is best practices followed by companies.
Ofcourse nothing stops an employer from opting for automatic confirmation of employees

Better take 15 days grace on actual date of completion of your probation, don't be a mathematical guy :-)
I hope, now as its 02/02/13, you should have received any sort of communication from their side.

The effect of probation would be clearer based on how it is worded in the appointment letter. In your case it appears that your appoint letter clearly mentions that the probation will end on a specific date. As there is no mention that 'at the end of the probation period, unless otherwise communicated, it will be understood that your appointment is confirmed', or words to that effect, a confirmation of your appointment is mandatory.
No response to your confirmation is neither a confirmation nor a rejection to your appointment. As you work in a small organisation, having sent your query in writing, it would be better if you meet with your appointing authority and seek clarity. This will also help in destressing your anxiety.

Dear Archana,

Technically " Probation" means testing / trial before being "considered" / confirmed. So there are possibilities of positive / negative responses ! However , do not be afraid !

Did you have any feedback from your boss mid term ! My sincere advice to you that please go to your boss thoroughly prepared on the following lines:

1. Go back to your diary and check out your " major contribution" which you have done throughout your probation period! Do not focus on " activities " but on your " contribution" & make a list of them. Focus on lead time / customer feedbacks, make note of all measurable aspects......

2. Recollect, whatever your boss had give positive feedback / remarks on those occasions ' make a note of them.

3. Any good feedback in writing on any mail , check it out !

4. Even if there are no issues on your performance, there could be issues on your confirmation due to the current slowdown where all large & small Orgns have been adversely affected ! Hold your breath.....this reason can be justifiable by the Mgt / it could be a Mgt policy matter, where even your boss cannot make an acception !

5.However, you need to counter this proactively through your networking skills and approach your boss taking him/ her into confidence. Ask him for a feedback on your performance good & poor and convince him with logical reasoning from your above preparation on your contributions !

6. Golden rule ....do not threaten your boss or make any adverse comments on leaving the Co. ( remember the situation out there in other Cos are / could be even worse!) have a "dailogue " & not an argument.....Listen with respect and reply with logical reasoning only!

7.Ask him / her ,the future career plans for you. If it suits you fine , if not , wait and watch for better opportunities after six months until the economic situation improves all around!

8. Remember, do not be a "Yes Sir / Madam" person either.......keep your cards close to yourself ........know your worth , make your own Swot analysis and chart your own career ....six months later !......have some patience & remain cool & composed during your meeting !

9.Read and & practise the "power of visualisation " before this important meeting .....it will certainly help you !

10. Always be positive & optimistic in life .....you have a long way to go !

Jan 16 passed. Don't worry, yr job is safe. What about yr self SWOT analysis. R u afraid? Anyway wait for a few days and strategically raise the issue seeking performance feedback. Certain companies take time. Wait & watch. Be optimistic and put up best part of you. Best wishes.

In continuation to the above replies, I agree that you need to wait little bit more because sometimes confirmation process takes time, as affirmation required from your PeM or reporting line on the same. But since, you are mentioning that you are the only HR in your organisation, I would recommend you to outline a confirmation process along with DTP (including the timelines and responsibilities) once for all. Also, make an option available that in case of no reply/information from reporting manager with in specified time frame then employee will be considered as confirmed and confirmation letter will be issued.
In our organisation we follow the same practice and TAT (turn around time) for confirmation within 3 days of due date.
