Hi All,

I need your guidance to give a unique identity to HR deptt. in my organisation. We are into automobile with 5 braches in Madhya pradesh of Yamaha & Piaggio, manufacturing of poly bags, & oil & cotton business. I joined here on 24th Dec. almost completed one month. Bcoz there was nobody to guide me about the existing system ( HR Manager & asst. was terminated bcoz of frauds & affairs) so I started individually here. Right now I am the only one who is managing here. In one month I did Recruitment, planning for training, Administration(stationary, housekeeping, guard management), freezes policies, make new work flow in showrooms but need to make it practical, did manpower planning, Attendance , salary of Dec month, file management, Loans and advances, recruitment, joining formalities, drafted some documents, completed all employees 's profiles, birthdays celebrations, made external training training records, performance appraisal is in process, , etc. But bcoz of my busy schedule I am not able to plan a unique initiative by HR deptt. No doubt till date whatever I have done was good and still something is missing. Bcoz of work load & technical issues in conference room I was not able to make aware what I had planned for them . I am sharing a ppt what I planed for the company before joining . I need your guidance to freeze my best reporting system daily and monthly and for a unique identity to HR a proper plan, and areas to improve , somewhere a proper time frame and activity kind of thing where I can provide the best service to all my employees and make them feel happy. I need something to know about my lacking points and how to overcome this.

with all my words ,I know all of you will get to know what I am trying to express. So please give your inputs. and share something related to theses industry some formats and reports. give me some good ideas related to good reporting formats like salary report etc.

So please guide me for the same....

You're doing tremendous, the presentation says it all. Furthermore, forms and formats can be available to you in this form while you typr your search criterion -- [Research] to the point besides that you want to consider something is the salary of the contract workers. Labours are paid much lesser salary than the regular ones and therefore you got to make sure of no discontent or frustration within them. Make sure to provide what is been promised before to ensure the productivity better. Decisively it'd rather be great to consider people to hire on rolls than to depend on any contrator which might also ease process benefits.

Compensation ans salary survey, HR audit reports etc are few to be initiated. Other forms can be extracted from the cite whenever required by you at your reference.

Like Sharmila Das mentioned you can find ample formats in this cite itself, you just need to zero down your list priority wise & work on it.
But all the more I am impressed with the way you've implemented things in a month. I must congratulate you for the efforts put in by you & assure you that this must ripe positive for you. Are you only one in the department handling all the activities centrally & branches across?? If so, you can put a requisition of manpower for yourself who can take up some administrative / documentation work & also be a support to you in recruitment.
Gradually you can start framing policies, implementing the same & focus on other areas of HR.

Dear Ms Pooja,

Your presentation is good. You are on the right track but you need to prioratise your tasks.

So as to prioritise the work, you must divide your list into pure HR related like recruitment, training, compensation, career management (appraisal, organogram etc), compliance, audit etc...then admin related like welfare, canteen, group insurance, celebration that is to say 'Employee Connect'.... and lastly security related like access control, attendance, material management etc.

Apparently, Security and Admin may appear mundane but these are hygiene factors and greatly support any HR initiative.

So as to avoid any heart burns later on, firstly freeze your organogram with consultation from your various dept heads. This may take some time as you have to understand each and every process in each and every dept. That way you can decide upon the maximum permissible and the minimum inescapable requirement of each dept and a company as whole. Thereafter one can decide the jobs which can be given to contract labour. Their number needs to be kept in check for future fallout with contractors. Security and admin takes two hours daily, if you prepare check list for these. Occasionally going on ground and checking it yourself will make wonders to the environment.

this is dantu raju working in quality inn bezz krishnaa, vishakhapatnam as a hr manager initially i want to congragulate to you for giving good performance in that orgnaziation. The first step you have to concentrate
on time office management. W/off,latecoming, absent & so on. Later mostly you can handover the log books in each and every department. Later you can go for the remaining process . This is my advice.

Thanks for info. I wanted to know what cross checks I should do with attendance report. we have criteria of
office timing 10:00 am to 7:00 pm
late comers:- 3 times accepted not more then 3.
leaving time comes up to 7:30 due to work load
what cross checks I should do. Right now I used to pull reports of the previous day and used to send it to all departments for cross check. and at the end of the month used combine reports as monthly and used to publish it to avoid adjustments in salary sheet.
And we used to issue Vouches and have PF/ ESIC and used to transfer fund. As a director what you are expecting me to present you so that you can do the analysis. Right now I am not in position to think about as a director what I should expect from my managers. So only seniors can help me.
I want something where I can give a brief report showing a relevant information for boss. what what formats , reports of information I should give that ?

Right now I am using Quikr, Facebook, OLX, Employee's reference , and Non Paid Consultants for hiring and seriously you will get very good responses. In facebook we need to install one application called Job cast. net . It works as Nakuri.com Portal and you will get very good responses.
