Absence from the Training Programme


1. You were detailed for the training programme on _______ (title of the training programme). We had organised this training from _____ (date) to _____ (date) at _____ (venue of the training). You were detailed to take this training and we had communicated about this training to you through ______ (notice at notice board, e-mail, letter etc. as applicable).

2. It has been observed that you were absent from this training. Reasons of your absence are not known OR you had expressed your inability to attend the programme and requested to withdraw but your request was turned down.

3. Training programmes are conducted to enhance employees' skills and thereby productivity. However, your absence shows your lack of learning attitude or reluctance to grow.

4. Your absence from the training has been views seriously. You are hereby directed to show cause why administrative or disciplinary action should not be initiated against you. Your reply to this notice must reach within 48 hours on receipt of this notice. If you fail to give reply or if the reply is not satisfactory then administration is free to take disciplinary action as deemed fit.

5. You need to sign on the duplicate/photo copy of this letter. Your signature on the duplicate copy signifies that you have read and understood the contents of this notice.

Note: -

a) Authorised signatory should be Director/VP or some senior authority of the company.

b) Before you issue the show cause notice check whether his/her absence was authorised by his HOD or department's manager. Speak to employee also and find out reasons for his/her absence. Do not jump the gun while issuing the show cause notice.

c) Issue the show cause notice on your company's letterhead and preserve it in the employee's document file.

d) If the employee refuses to accept the show cause letter then obtain the signature on the photocopy of the letter about his/her refusal. Administration of your company in this case should suspend the employee and order domestic enquiry. Prohibit employee from going to his/her section/department or beyond security point.

e) Fill in the blanks and delete the unwanted portion as necessary.
