Dear Seniors,
I do have a small problems.. I am new as HR Administrator in a Construction Company with 200 employees, which i don't know anything about them.
I asked for their files and they said that it is with PRO and he is the only one who kept those files.
I want to make a letter in a polite way of what i should need to make my position visible in this company.
Currently, i am just doing the basic recruitment and nothing else.
I want to be more productive and ask all what i need. please help me and give me a guide of what should i ask for.

Dear Rachell,
Who is PRO??
Since I believe you have just started do not hurry into things, it always takes 2 months to 3 months to settle in a new job.
But at the same time you need to make your presence felt.
What I would suggest do some study on previous years facts & figures (say at least 3 to 5 years) and prepare some reports to find out the problem area and then take it up to your seniors and make sure that you have some solutions to those problems.
Some of the examples are below:
1) Recruitment:
a) Vacancy Rate
b) Vacancy Costs
c) Time to fill
d) Cost per Hire
2) Employee Relation:
a) Absenteeism Rate
b) Absenteeism Costs
c) Employee Turnover rate
d) Employee Turnover Cost
You can also focus on the improvement on the current HR processes say performance appraisal, performance management, etc

HR dept is a Data center and all records relating to employees have to be managed and updated in timely basis.
The dept will only function if the data is accurate and maintained well.keep employee files updated.
The start off to set up HR dept and the data, all the details of employees should be collected-
Maintain a master file (attached file);and also get all information regarding the visa /labour card /passport expiry details.
All information regarding salaries and benefits need to be collected.
Employee leave balance has to collected and updated.
