Dear Lisa,

Every time you need not have e-mail authorisation from MD. For the authorisation of overtime you need to design a simple form. Let the production manager or factory manager or any other manager obtain permission from MD for overtime. The format of E-mail could be as below:

+++++

From: - Managing Director

To: - All the Heads of Department

Subject: - Authorisation of Overtime

It has been observed that in many departments employees work well beyond their specified working hours. Reasons of these extra stay at workplace is not known.

In order to streamline process of overtime, it has been decided to use Overtime Authorisation Form (OAF). Hereafter, any HOD before authorising overtime has to obtain written permission from undersigned.

HOD is to handover approved OAF to the security section. Security is to verify authorisation for excess work and actual stay at working place. Next day security in charge is to handover the OAF to the HR Department. HR Department is to open new file for preserving the approved OAFs. HR is to link Overtime Payment to OAFs received in the month and compute the payment OT accordingly.

Format of OAF is attached to this mail. This change comes with immediate effect.
