Dear Sir/Madam, In our company employees every day comming late but my management says that deduct them salary. How to draft the note? plsssssssssssssss help me. Regards, RAVI

Dear Ravi,
While issuing memo or deducting salary you need to do it under the provisions of (a) Payment of Wages Act (PWA) and (b) Certified and approved Standing Orders of your company. We need to know under what clause we can deduct the wages under PWA. While issuing the memo quoting that clause that is important.
Other members like Mr TK Madhu, Rajan Associates will give you better advice.

you are therfore , advised in writing to come to work in time everyday, which is one of the basic conditions of your employment. it is expected that you will be careful in future.

Hi, I think before issue any memo to anyone you revise your company HR policies. And in that policies you mention this issue. So this policy is applicable to all of employees.

if you find late for 3 days you can deduct half a day salary of from that month. But please find what is the reason for the delay and find the solution for it. As a Senior head of factory I will stand at the gate before 15 minutes of working time. Please remember whatever you deduct the salary from employee, you are loosing the Man Hours which is very valuable for the production. Then you have to go for extra man hours work.

Different organization have different rules and regulations for deducting the salary for late comings. But normally one should deduct half day salary for every three days of late coming.

I have shared with the veteran members of the forum earlier that try to encourage people to come to the office in time.... rather than being negative by punishing them.

YOU CAN PUT THE LIST OF THOSE EMPLOYEES ON THE NOTICE BOARD WHO ARE NOT EVEN SINGLE DAY LATE IN THE ORGANIZATION. GIVE THEM SOME GIFTS / CHOCOLATES ETC.

1) First you have to be very clear about the norms favoring salary deduction.
2) Please serve REMINDER or MEMO or NOTICE for LATE COMING highlighting or referring your company policy - PUNCTUALITY & TIME MANAGEMENT, only If you haven't done it so far. I hope your company has such policy else prepare it, get approved and circulate to all your employees.
3) While drafting MEMO or REMINER or NOTICE please keep PURPOSE, READER/RECIPIENT and CONTENT in mind.
4) Please use BUSINESS COMMUNICATION SKILLS for drafting, which has to reflect Work Culture, your company's standard and more.
5) Avoid REPETITION of words, follow KISS(KEEP IT SHORT & SIMPLE) format, use FORMAL(Positive) Language so that we don't make employees to REACT rather responding to the situation or query or it can be anything. There are several positive ways to correct employees mistake(s) and the best is POSITIVE MOTIVATION. Please think before you follow/implement management instructions because things might go wrong, if you just implement the same without analyzing RISK FACTORS POST IMPLEMENTATION.
6) Avoid grammatical mistakes.

Two formats are posted by Mrs.kanupriya vashisht and Mr. Shreyas Dave. Both are good, but you can utilize your drafting skills by making use of the information provided in the formats.

Letter drafting is a skill and this will reflect individual's exposure towards his Business communication skills and talent he possess.

Its quite simple. When you have noted such a good quality repeated habit in your smart employee, please serve him MEMO, to be accepted as REMINDER for not repeating the same.
If he/she repeats the same, then there is a ATTITUDE PROBLEM which can be corrected if you take serious measures. Please prepare a policy as a solution addressing such problems and implement it without giving a second thought.
Please remember that Policies are created for various purpose that includes solving problems but not for creating problems.
If we can use our common sense and apply logic any problem can be solved.
