Hi!
I'm working in an MNC. Company provided mobile to all the employees. I used that for both official and personal calls. Generally I called to my family and friends at late night. I pay by chque for my personal bill. Recently, company is telling me that auditor is pointing out for my mobill bill that why my mobile bill amount is more and why after office hour. So I would like to know that is it real fact? do auditors really check the mobile bill and the timings of call or administrative officer is just trying to targetting me due to some reasons?
Please reply.
With Thanks & Regards

Dear Apekhya,
First I would like to clarify that during the course of External/Internal audit: Audit is done as per the plicy provided by the company with specified amount limit and auditors are supposed to check only as per the policy.like what was the amunt claimed and what was the amount in the bills. Whether it is as per the policy. If the reimbursement of the same is deviated from the policy than they atre suppoosed to mentioned in their report. Even if it is deviated than it requires approoval from the Director or MD.
If you have been said like that than it is not true.

Dear Apekhya
As per the NMC adapted, mobile bills are audited, in the bill usage.
Company cannt monitor the calls made [in some cases only]. As you have mentioned you have been calling after official hours, and have been paying the same for your personal calls. Unless n until your are crossing the credit limit of bill usage issued by your company, Auditors can't interfere to your usage.
Apekhya, Auditors cant leverage any charges or action unless your usage or calls/sms made are unofficial. I feel they might be cultivating some hint for your usage.

Hi Apekhya,
When you are paying for your personal bill it doesn't matter what time/why do you call etc...
And auditors dont check timing of calls unless they r really free........

hi!

Thank u Rajesh, Simmy & Narendra!! Thanks a lot!

Actually limit is not defined till now. there is no such rule told to us. Mobile bill details is coming directly to office. so they are able to track the timing of calls. One of my friend is also working in the same company. So sometimes I called him after office hour. Recently there is strict instruction given to both of us not to call each other and management asked only both of us for call details like how much % is the official call and how much is the personal call with number details. They didn't ask anyone for the explanation. I felt very bad about this behaviour of the company.I have prepared a mobile bill reconsilation statement, I found that I paid 64% of total bill (April'08 to June'09) of a yr and comapny paid for me 17% and balance 18% is for rental also paid by company. I think they are targetting me. what you says? My performance is good and I do my job sincerly. I'm planning to change my job. Is this right decision?

the company fixes ceiling limit.if so you are paying extra.explain in writing to them.
you cannot carry 2 mobiles with you.the company should understand,
show them proof of your payment for your personal calls,.
hand over a detailed letter to the chief executive for his knowledge.
how about other employees? do they have a seperate pesonal call mobile?
regards.

Thank you Kulasekaran!!
now I'm carrying 2 mobile.. Just to avoid unnecessary issues. When I'm paying for my personal call then why to listen those things from others.. but I want to resolve this issue and find out a solution. Some person have 2 & some have one mobile. I have already given reconsilation statement to my manager. now its his duty to send to our GM.

Dear Apekhya,
Yes,sometimes auditor asked for late calling.
As per law an employee work not more than 8 hours per day and overtime should not be more than 2 hour/day,12 hour/week & 50 hours/quarter year.
Some social auditors also verify the phone calls made by employees to identify the late working or other extra works(Overtime) to the employee.
To avoid such things ,please do not call after office hours from this company mobile.

Apekhya, Your admin is trying to give you indirect message. Usually Auditors do not go into such details unless someone asks them specifically. Internal Auditors are guided by Management :-) Saurabh

Dear,
Calling or receiving phone calls after office hours is not crime. We do at times call our counterparts, subordinates to give instruction or any official after office hours. As an HR person, I also used to receive calls at home in night 2.00 O' clock due to accidents, etc. at site (outstation). I had to call and give instruction as to how to go about in treating the emplyee or complying with legal formalities.
However, making personal calls from the mobile used for office purpose need not be done. It can be your own mobile phone, nobody is going to question you.
When doubt comes (triggered by some other reason), an auditor may look for the timing of the calls made and bring it to the notice of higher ups!
Why should we invite trouble while being honest?

Note: I am using my own (personal) phone - not asked for an official one - and whatever calls made official i am paying for it. So what if we incur a few hundred Rupees expenses?!!
