hi,
i am fresher. joined an organisation as a trainee.my first assignment is to prepare HR manual. can you help me by stating how a manual should be and also by sending a few manuals, which i can use as benchmark.

I also want to know what is the basic groundwork to be done before preparing the HR manual.As,i have prepared one but my seniors are not happy and they have asked me to rework on it.I went through the sites which you have mentioned,but could not find this basic thing.One more thing is that i have to prepare the manual from scratch,there was no manual earlier for this organisation.
How do i prepare a manual which caters to the needs of everyone in the organisation.I am working for a bpo,a rural set-up.
Please guide me to prepare a good manual,which caters to everyone.

Dear Nalini,
HR Manual is kind of induction handbook which helps the new joinee to acquaint himself about the organisation he/she is joining. It may contain introduction, HR Policies, Working Environment & work culture etc.
But first before proceeding i suggest you to meet and understand your organisation and collect reliable data about the organisation.

Thank you.i would definitely do it.hope i do it well.I am also planning to visit Hr's of a few organisations and ask them about the practises and procedures followed in their organisation.As it would be a guiding spirit to my work.What do you think about it.Should i work on any other platform also,if so please let me know.

I think visiting to new organisation will be too early as you have to prepare this manual for your organisation so it should contain firstly and primarily your organisational needs visiting new organisation means adopting new things and implementing it in ur orgn. for practice which is very difficult and too early for a new joinee like you.... so first collect all materials like your orgn's past, Board of Directors, what they are into ,, who are the key persons. what all benefits you people give to ur employee, what are carrer development or appraisal system..
As a fresher i think you r in a better postion to come out with ideas for what a new joinee wants and side by side other present practice of the company shall be given by interacting to your peers.... All the best you can also email me in

Thanks you.I think what you said is right.but the reason me visiting the organisations is to know what are the things you should concentrate on and to have some of their policies as a benchmark for preparing the manual.I would also like to know what are the things to be addressed in the manpower requistion form.Sorry for asking so many questions.

thank you for showing interest towards my project.I have completed the recruitment part and working on the forms.done with application form,exit interview form and test modules.have to rework a bit on the application form.now working on the offer letter and induction.

An HR manual which is intended to be circulated amongst the employees should talk about all such processes of the Human Resource Department which are of concern to them. It goes without saying that the HR department needs to maintain confidentiality where ever required and should also provide information to the extent it improves effectiveness of the processes. Some of the broad heads could be:

Vision,

Mission,

Organisational Structure,

Organisational Levels.

Recruitment-

Preparation of the Manpower Plan,

Raising Personnel Requisition,

Selection Procedure etc.

Compensation-

Broad Philosophy,

Heads,

Details of each Heads,

Retirals Trusts etc.

Training Process-

Orientation and Induction,

Training Needs Generation,

Organising Training Programs

Performance Appraisal-

KRA definintions,

Goal Setting Procedure,

Mid-term Reviews Procedure,

Performance Appraisal Cycle and its linkages with the incentives.

Employee Administration-

Attendance,

Leave Procedure, Holidays,

Travel Entitlements and Procedure,

Late Sitting Benefits(if any).

The above is just a sample of issues which can be addressed. This is also dependent on various other organisational issues and the stage of the organisation. As an organisation grows the HR department needs to keep reviewing, adding and deleting procedures and processes.

Please bear in mind that all required forms are to be provided to the employees in the Manual.

In case the a Manual is being prepared for the internal circulation of the HR department then more transparency needs to be provided and the necessary work instructions also assimilated.
