U havent really mentioned what ur dept is . but anyways......
Informally and in case of individuals ,you may verbally set expectations and then simply mail the instructions on the individual official id and request status EOD or whateve the dead line set.
Otherwise formally and in case of a group ,u can also consider conducting small meets/briefings at start of the day and then follow it up with mails requesting status after reasonble hours
